Assorted cupcakes on a platter at a Melbourne office event

As a guide, plan on roughly one standard cupcake per guest when cupcakes sit alongside other food at a morning tea or lunch. If cupcakes are the main treat, plan a little more. Or add mini cupcakes so people can try two flavours. Minis are great for grazing at longer events, too. We deliver on weekdays across Melbourne Metro, and larger or branded orders need longer notice. So get in touch early with your headcount and date.

The numbers below are rule-of-thumb planning advice, not data. Every office is different. Adjust for your team's appetite, the time of day and what else is on the table.

The quick rule of thumb

Start with your confirmed headcount. Then ask one question: are cupcakes one treat among many, or the main attraction?

Cupcakes as one of several foods

If there are sandwiches, fruit platters or a catered lunch, most people will take one cupcake. Some will skip dessert altogether. One standard cupcake per guest is a comfortable place to start, plus a couple of spares so nobody misses out.

Cupcakes as the main treat

For an afternoon celebration where cupcakes are the main event, such as a farewell, a launch or a team milestone, people tend to come back for a second. As a guide, plan for around one and a half cupcakes per guest, or pair one standard cupcake each with some minis.

Grazing and long events (minis)

For all-day workshops, open-house sessions or client events where people drift in and out, mini cupcakes work well. They're easy to pick up between conversations, and there's less waste. As a guide, plan two to three minis per guest across the event.

Planning guide

This guide works in cupcakes per guest, so you can match it to whatever you order. Mini cupcakes are sold in boxes of 24 (confirmed on our live mini cupcakes collection page). For standard cupcake options and pricing for your office, see our corporate cupcake orders page.

Guests Standard, cupcakes alongside other food (about 1 each) Standard, cupcakes as the main treat (about 1.5 each) Minis for grazing (about 2 to 3 each)
10 about 10 to 12 cupcakes about 15 cupcakes 20 to 30 minis (1 to 2 boxes of 24)
25 about 25 to 28 cupcakes about 38 cupcakes 50 to 75 minis (3 to 4 boxes of 24)
50 about 50 to 55 cupcakes about 75 cupcakes 100 to 150 minis (5 to 7 boxes of 24)
100 about 100 to 105 cupcakes about 150 cupcakes 200 to 300 minis (9 to 13 boxes of 24)

Use these as a starting point. If your office is known for clearing the kitchen bench in ten minutes, round up.

Standard, mini or a mix?

Standard cupcakes are the classic pick for a seated morning tea or a short celebration where everyone gathers at once. They feel generous and look lovely in photos. One per person is usually enough.

Mini cupcakes for offices are made for events where people mingle, eat standing up or come and go. They're also handy when you want to offer several flavours and nobody wants to commit to a full-sized cupcake.

For bigger groups, a mix often works best. Serve standard cupcakes for the main moment and keep minis on a side platter for later in the day. If it's a seated event and you'd rather serve on plates, a cake can be a good alternative. Browse our round cakes and allow extra notice for anything custom.

Adding your logo

Branded cupcakes are an easy way to tie a product launch, client event or staff milestone back to your organisation. Logo and custom designs are made to order through our corporate cupcake orders page, so they need longer notice than a standard order. When you reach out, send your headcount, event date and logo file. We'll confirm what's possible for your timeline.

Dietary needs in the office

Most workplaces have at least a few people with dietary requirements. It's worth planning part of the order for them so they aren't left out. We offer a vegan range, an eggless version of every flavour and gluten-free options. Ask your team ahead of time, then order a separate, clearly labelled box for those guests.

Please note that all our products are made in a shared kitchen that handles gluten, dairy, eggs, nuts and other allergens, so cross-contact is possible. Our gluten-free options are made in that shared kitchen, not a gluten-free facility. For guests with severe allergies or coeliac disease, please read our allergen information page and contact us before ordering so they can make an informed choice.

When to order

Our standard cut-off: order by 12 noon for next-weekday delivery after 2pm. After noon, the earliest delivery is the day after next.

  • Friday afternoon event? Order by Thursday 12 noon for delivery on Friday after 2pm.
  • Friday morning tea? Because next-day orders arrive after 2pm, plan for delivery on Thursday, the business day before, which means ordering by Wednesday 12 noon.
  • Weekdays only. There is no Saturday, Sunday or public holiday delivery. For a Saturday event, order for Friday.
  • Larger, custom or corporate orders need longer notice. Contact us with your date and we will confirm. Full details are in our delivery policy.

Frequently asked questions

How many cupcakes do I need for 50 staff?

As a guide, plan about 50 to 55 standard cupcakes when cupcakes sit alongside other food, and around 75 if cupcakes are the main treat. If some staff have dietary needs, make part of the order vegan, eggless or gluten-free. For an order this size, request a corporate quote with your date.

Are mini cupcakes better for work events?

Minis suit grazing and longer events where people come and go. For a short or seated celebration where everyone gathers at once, standard cupcakes usually work better.

How far ahead should we order corporate cupcakes?

For standard orders, order by 12 noon for next-weekday delivery after 2pm; after noon, the earliest is the day after next. Larger, custom, branded or corporate orders need longer notice, so contact us with your date and we will confirm.

Do you deliver on weekends for office events?

No. We deliver on weekdays only, with no Saturday, Sunday or public holiday delivery. For a Saturday event, order for Friday.

Can you cater for gluten-free staff?

Yes, we have gluten-free options. They are made in a shared kitchen, not a gluten-free facility, so cross-contact is possible. Please see our allergen information page before ordering.

How much is delivery?

Delivery fees typically range from $0 to $20 depending on location within Melbourne Metro. Outside Melbourne Metro, contact us for a quote.
